Who We Are:

The Subcontracts Group of the Purchasing Department is responsible for the solicitation, negotiation, award, documentation, administration, and closeout of subcontracts. The team assists Project Managers in all phases of the subcontract.

Objectives of this Role:

Provide clerical and admin support for the Purchasing - Subcontracts Group.Develop a solid understanding of the Subcontract Policies and Procedures and is act using personal judgment within defined levels of responsibility to process tasks to support the Subcontracts group.Organize workload, prioritize tasks, and initiate, distribute, copy/save documents, reports, and other materials as assigned.Fulfilling clerical responsibilities to include drafting documents, formatting and editing MS Word documents, and accurately maintain database.Function as a contributing member of the team and provide excellent customer service while maintaining a strong sense of urgency.

Daily and Monthly Responsibilities:

Draft, format, and edit MS Word documents, make copies, scan documents, maintain department files and databases, and other clerical tasks as assigned.You will interact daily with subcontracting specialists and management concerning required clerical tasks.Perform travel analyses or other types of analyses that support the subcontracting process.Initiate requests to subcontractors for contractual documents and provide regular follow up.Assemble contractual documents for specialist review as requested.Input purchase order information into Costpoint.Respond to subcontracts and Institute staff inquiries and research requests in a timely manner.Schedule/prepare materials for appointments/meetings and assist other clerical staff as needed.

Requirements:

Requires a high school diploma or equivalentGeneral business courses preferred5 years: Administrative/Secretarial support experience, strong communication skills, and interpersonal skills are requiredKnowledge of general business practices and procedures and manage tasks and priorities in a timely mannerStrong, demonstrated skills in Microsoft Office Suite, applications including Word, Excel and Outlook, and Adobe Acrobat.Strong grammar and punctuation skillsMust be able to edit/compose correspondenceA valid/clear driver's license is required

Special Requirements:

Must be a U.S. person (i.e., U.S. citizen, non-U.S. citizen national, lawful permanent resident, asylee, or refugee) due to ITAR work in section.
