Who We Are:

The Subcontracts Group of the Purchasing Department is responsible for the solicitation, negotiation, award, documentation, administration, and closeout of subcontracts. The team assists Project Managers in all phases of the subcontract. By joining our team, you will received an additional $500.00 on your first paycheck (minus applicable taxes).

Objectives of this Role:

Process invoices timely and accurately in accordance with Subcontract policies and procedures, subcontract terms and conditions, and Government regulations.Monitor vendor statements to ensure payments are up to date and that all credits received are accounted for.Research and resolve invoice discrepancies timely to include communication with subcontractors, subcontract specialists, and other Institute staff.Take ownership of subcontractor invoice issues and follow problems through to resolution.Function as a contributing member of the team and provide excellent customer service while maintaining a strong sense of urgency.

Daily and Monthly Responsibilities:

Sorting, tracking, and processing invoices accurately and within the terms of the subcontract.Document and process all actions with complete accuracy to maintain detailed traceability.Respond to subcontractor requests for payment status promptly.Respond to subcontracts and Institute staff inquiries and research requests in a timely manner.Assist with special projects or audit requests as requested.

Requirements:

Requires a high school diploma or equivalentAccounts Payable, Accounting, or related AS degree/courses preferred4 years: Must have experience processing invoices for payment.Experience with personal computers with an ability to type, efficiently operate a 10-keyand, and proficiency in Microsoft Office, with advanced skills in ExcelKnowledge of general business practices and procedures with an ability to maintain organization of assignments to meet tight deadlinesMust be able to exercise discretion and independent judgement, diligence, and attention to detail in the completion of assigned tasks and projectsA valid/clear driver's license is required

Special Requirements:

Must be a U.S. person (i.e., U.S. citizen, non-U.S. citizen national, lawful permanent resident, asylee, or refugee) due to ITAR work in section.
