Job Description:

Who We Are:

The Accounts Payable Department makes payments to vendors for Institute liabilities according to purchase order terms set by the Purchasing Department or, where appropriate, other properly approved requests for payment.

Objectives of this Role:

Processing invoices timely and accurately in accordance with Cost Accounting Standards, US GAAP and Federal Acquisition Regulations in order to take advantage of all discounts.Prompt payments are essential to the Institute's D&B credit score.Develop new proceduresMonitor vendor statements to ensure payments are up to date and that all credits received are accounted for.Assist and potentially lead new processes for the AP teamMonitor vendor statements to ensure payments are up to date and that all credits received are accounted forResearch and resolve invoice discrepancies timely to include communication with vendors, Purchasing Department and other Institute staff.Research and clear stale and or outstanding purchase order commitments; this is essential to the accuracy of project accounting.Research and clear stale and or outstanding purchase order commitments; this is essential to the accuracy of project accounting.Identify process improvements and assist with the implementation to gain efficiencies.

Daily and Monthly Responsibilities:

Sorting, tracking and processing invoices accurately and within payment terms.Respond to vendor requests for payment status promptly.Respond to Institute staff inquiries and research requests in a timely manner.Must be detail oriented and organized.Assist with special projects or audit requests as requested that will impact business operations and process improvements.

Requirements:

Requires a high school diploma or equivalentClasses or certifications in Accounts Payable, Accounting or related AS degree preferred/courses preferred6 years: Experience with personal computers with an ability to type and efficiently operate a 10-keyProficiency in Microsoft Office, with advance skills in ExcelKnowledge of general business practices and procedures with an ability to maintain organization of assignments to meet tight deadlinesMust be able to exercise discretion and independent judgment, diligence and attention to detail in the completion of assigned tasks and projectsA valid/clear driver's license is required

Special Requirements:

Applicant selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information. Applicant must be a U.S. citizen.
