Who We Are:

The News and Information section of the Communications Department leads internal and external communications on behalf of SwRI, its broad technical programs, and its staff. Responsibilities include managing websites, magazines, press releases and media relations, brochures and flyers, and more. By joining our team, you will received an additional $500.00 in your first paycheck (minus applicable taxes)!

Objectives of this Role:

Serve as front desk receptionist for Communications Department workplace, promptly greeting and directing visitors to staff, answering and transferring phone calls and emails, and sorting and delivering mail.Provide general administrative support for the media relations program to include filing, coordinating meetings and schedules, and maintaining department equipment, supplies, and shared workspaces.Provide tracking and monthly reports on behalf of the media relations program as part of regular department reporting to executive management; compile weekly media newsletter for internal distribution.Provide administrative support for the SwRI website, gathering presentation data from technical divisions, organizing and formatting the data, and uploading the data to the website.Provide backup support to the department administrative assistant by processing standard forms and requests, such as purchase requisitions, check requests, travel authorizations, expense accounts, and related, as needed.

Daily and Monthly Responsibilities:

Receive visitors, answer phones, respond to email inquiries, and direct requests to the appropriate department and SwRI staff members.Create and maintain documents, databases, and spreadsheets using the Microsoft Office Suite to track news releases, news subscribers, and other media relations information.Format and distribute press releases using various platforms and media lists; maintain related media lists.Compile weekly newsletter of media mentions using a media monitoring platform.Perform general administrative functions such as filing, sorting and distributing mail; making department purchases; typing correspondence; and keeping shared areas such as conference rooms, copy rooms, and breakrooms clean and neat.

Requirements:

Requires a high school diploma or equivalentAdministrative and clerical courses and/or AS degree is preferred6 years: Ability to operate general office equipment such as telephone systems, fax machines, copiers, and computers; expertise with Microsoft Office Suite, as well as aptitude for learning specialized software products to support an active media relations program6 years: of related experience and ability to learn quickly, show initiative and good judgment, provide quality and consistent support, follow instructions, meet deadlines, and work under pressureTyping and proofreading skills in a corporate environmentMust be extremely organized and detail orientedStrong interpersonal and communications skillsAbility to work as part of a creative team of writers, web developers, photographers, graphic designers, videographers, and project managersA valid/clear driver's license is required
