Job Description:

SimIS Inc, an innovative information technology solution Veteran Owned Small Business (VOSB), is currently seeking a dedicated Administrative Assistant to join our administrative team. This role will be responsible for routine and basic office administrative tasks including answering phones, filing, data entry, and ordering supplies.

Responsibilities but not limited to:

Welcomes guests and customers by greeting them, in person or on the telephone and answering or directing inquiries.
Collect and distribute incoming mail and packages. Drop off outgoing mail/packages.
Maintain filing and AP vendor files.
Prepares reports by collecting and analyzing information.
Maintains customer confidence and protects operations by keeping information confidential.
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
Facilitate purchase orders for R&D team, Business Development/Marketing events and employees (gift cards, sympathy, etc.)
Maintains the break room and its inventory; orders break room supplies.
Orders lunches to include pickup and delivery to multiple locations.
Schedule vehicle rentals i.e. U-Haul and Budget
Handle travel arrangements.
Ensures operation of basic office equipment to include printers and fax machine.
Contributes to team effectiveness by supporting related efforts as needed.
Helps with the implementation of services, policies, and programs.
Prepares periodic reports for management, as necessary or requested.
Arranges with vendors for services, prepares agendas, gathers and organizes supporting information, and oversee production and distribution of related materials.
Edits documents produced by others as well as makes sure documents on the employee site are up to date and accurate.
Records and summarizes minutes for typing and distribution.
Research information, as requested, and relays official interpretations.
Assist with monthly credit card reconciliation by collecting and matching receipts to the statement and creating packets for each charge code
Organize and plan company events i.e. job fairs, employee appreciation and STEM events
Completes projects/tasks timely and follows up on results.
Provides administrative support to other departments as needed
Perform other related duties as required.

Requirements:

2-3 years of administrative and office experience
Strong computer skills with Word and Excel
Professional telephone skills
Excellent communication skills – verbal and written
Ability to work independently or as a member of a team
Organization skills a must
High degree of attention to detail and accuracy
Ability to adapt to ever changing priorities
Ability to multi-task in a high paced environment
Working knowledge of general office equipment
