Job Description:

ARServices has an opening for a Science Conference Coordinator to support the Defense Threat Reduction Agency (DTRA) Cooperative Threat Reduction (CTR) Directorate's Biological Threat Reduction Program (BTRP). The Science Conference Coordinator will work with a team of consultants to assist with the planning, development, and execution of international conferences, program reviews, workshops, and other special events supporting a client program. This is a great client-facing opportunity involving engagement with a broad array of different government clients and A&AS colleagues, gaining hands-on experience with Project Management fundamentals.
Principal Duties
Manage conference inbox; coordinate received conference abstracts and documentation, upload them to tracking databases, coordinate colleagues' reviewsCollect and distribute (file) all nominee/participant documentation Draft call for abstracts, coordinating Science Manager approvals for distributionComplete ongoing research of conferences for deadline dates and changesWork with colleagues to ensure compliance with travel regulationsDraft/distribute logistics letters that detail conference information for in-person travel to these eventsProvide weekly updates of total participation count for each event Assist with coordination of travel logistics Provide insight into mission support of international researchers Coordinate with various teams across the world, gaining multicultural knowledgeDraft travel documentation and coordination of approvals with various stakeholders in compliance with DoD guidelinesWork with the travel department to ensure travel requests are managed in a timely mannerProvide back-up support to conference team membersRequirements
Active secret security clearanceBA or BS degree in business, management, or a related field2 years of experience with meeting or event planningExperience with standard office computer systemsExperience with SharePointAbility to multi-task and communicate professionallyAbility to work individually and as part of a team to execute tasksDesired Qualifications
