Job Description:
Cape Fox Facilities Services is seeking an Operations Coordinator to join our team in Bethesda, MD in support of the NIH.
Responsibilities:
Manages DDM staff calendars, communicating with meeting participants for updates and/or cancellations Primary liaison and point of contact for visitors and telephone calls for staff in the immediate Office of the Deputy Director for Management Coordinates requests from DDM staff, including mailing, faxing, copying, scanning, and distribution Coordinates review of all incoming FedEx and UPS packages for the DDM Prepares agendas for high level meetings and follows-up on outstanding tasks for senior staff Monitors supply usage and utilizes the Government-wide automated purchasing system (POTS) for ordering supplies for the DDM staff Coordinates payment of telephone bills for immediate staff Reviews and responds to requests for property, supplies, equipment, and office furniture Coordinates office moves as necessary Prepares routine correspondence in support of the work of the office of the Deputy Director and other senior staff Utilizes advanced communications systems such as video and teleconferencing systems, facilitating video conference meetings between the DDM and senior leaders as well as external stakeholders Coordinates with the Audio-Visual team as necessary to ensure communications are seamless Works closely with NCI Administrative Resource Center Directors and the Special Assistant to the DDM to gather information regarding key issues for the program Schedules meetings in various conference rooms across NIH Coordinates the daily use of the main NCI Conference Room, 11A01 Coordinates maintenance crews for issues pertaining the DDM Suite Point of contact as first staff to greet all visitors to the suite Logs and obtains signatures on all incoming documents to the DDM Directs callers and visitors accordingly Participates in project management activities, including researching information and updating related documents Creates and maintains spreadsheets and other tracking tables in support of meetings/workshops/conferences Assembles meeting folders and notebooks to facilitate the organization and implementation of special projects Deliver packages to various offices of the NCI

Job Requirements
Bachelor's degree or equivalent in related field. Four (4) years of specialized experience plus a High School diploma is equivalent to a BA/BS degree. Minimum of six (6) years of related experience. Experience with data acquisition program is preferred. Experience with Microsoft Office Suite (MS Word, Excel, Outlook, Power Point). Ability to multi-task and assist multiple NIH employees at once. Uses tact and sound judgment in a wide-range of confidential and sensitive assignments. Strong communications skills, both oral and written. Excellent analytical, organizational and time management skills.
