The Office Manager is part of a team that supports projects within Cognosante's State Solutions (CSS) business unit. The Office Manager organizes and coordinates office administration services and procedures to ensure organizational effectiveness, efficiency, security and safety. The Office Manager engages with building facility, telephony, IT and other internal Cognosante and external organizations that provide equipment or services to ensure their effective operation in alignment with contractual requirements. The Office Manager oversees the administration of office security and safety protocols and procedures, and management of office supplies and equipment. Cognosante is seeking an energetic professional motivated by managing a variety of responsibilities, experienced in handling a wide range of administrative and executive support tasks, comfortable working independently, is organized, flexible and enjoys the administrative challenges of supporting an office of diverse people.

This position is required to work onsite full-time in the Topeka, KS area with an anticipated start date of April 1, 2020.

Key Responsibilities
Oversee the installation, maintenance, and repair of office machines and equipmentProcure maintenance and repairs of office space and its systems, such as electrical, mechanical and plumbingProcure maintenance and repair of office services and systems, such as telephony and ITEnsure compliance with facility specific contractual obligationsManage the effective ordering and distribution of office suppliesDevelop, maintain and communicate emergency plans and evacuation procedures that align with facility, customer, and Cognosante requirementsDevelop, maintain, communicate and execute security and access plans and procedures that align with facility, customer and Cognosante requirementsOversee adherence to documented processes and procedures; make recommendations to leadership for enhancements that optimize security, safety, efficiency and effectiveness of siteManage relationships with vendors, service providers and facility staffProvide general support to office visitorsParticipate actively in the planning and execution of company eventsOversee adherence to office policies and procedures and provide continuous communication to onsite teamPrepare operational reports and schedules to ensure efficiencyDevelop deep familiarity with the contract stipulations and work closely with Project Director and Cognosante Contracts on all contract-related actions to ensure alignment with contractual requirements and scope related to facilitiesPrepare status report and participate in client status meetingsSupport the project meetings and status reporting activitiesWork closely with the customer and business users to maintain excellent relationshipsMust be organized, able to multi-task and possess a strong attention to detailExcellent communications skills with an ability to communicate with staff, colleagues and managers at all levels to inform of progress and changesCollaborate with other team members to provide subject matter expertise and assistance as applicable

Minimum Qualifications
Minimum of 3 years' experience in managing the services and systems of an office environment, preferably within a public sector environmentMinimum of 2 years' supervisory experience or comparable combination of education, training and experiencePrior experience in a customer-facing roleProficiency with MS Office Suite, including MS Project and SharePointExcellent written and verbal communication skillsAbility to work independently and manage work to a defined scheduleAbility to manage multiple priorities and tasks and exhibit sound judgment and decision-making in a fast-paced high pressure setting
