Chief Objective of Position
Provides leadership, direction, strategy, supervision and coordination for the operational portion of the Advancement office - its staff and programs. These areas include: gift processing, recording and receipting; alumni and donor records management and maintenance; list and report production; stewardship; compliance with national reporting standards such as CASE , VSE , National Planned Giving Association, and others.

Work Tasks
1. Provide oversight and direction for the Advancement Services and Stewardship staff. Supervises, guides, and directs staff through training, task delegation, audit, evaluation, and interpretation of applicable federal, state, and University guidelines, policies, regulations, and laws to ensure an effective and efficient staff capable of providing high quality customer service.
2. Using independent judgment and discretion, plans; budgets resources; formulates policy; develops procedures by interpreting guidelines, policies, regulations, and laws; provides direction in the daily operations to ensure the University's goals and objectives are achieved.
3. Supervise the processing and acknowledging of gifts, pledges, pledge payments, matching claims, memorial gifts, honor gifts and other contributions to the University with consideration to timeliness and efficiency.
4. Ensure that all corresponding record links (such as spouse, and other family members), other alumni and friends, corporations/foundations to employees/owners/board members in the database are updated as gifts or pledges are processed.
5. Provide direction to the Programmer/Analyst and the Assistant Director of Advancement Services to design and create a bank of database reports to address advancement and university needs, including ad hoc reports as well as those suitable for selected directors and staff to utilize themselves.
6. Serves as the in-house expert for all policy and reporting standards and regulations governing donor/gift data management and reporting, including CASE , VSE , HEDS , American Planned Giving Council, APRA , etc. Coordinates with University Counsel and Foundation leadership as needed to ensure the University is operating in accordance with the highest standards in record management, reporting and documentation.
7. Ensure the VP and other Advancement leaders are apprised of "critical needs" or issues when they arise and require immediate attention - especially when these may have a donor relations implication.
8. Oversee Advancement Services participation in the annual Foundation audit - calling on others on the Advancement team as needed for documentation and reports, etc.
9. At the direction of the VP, serves as primary contact for regular operational purposes for Business Office, Financial Aid, Registrar, the Foundations and other University offices for administrative needs and communications.
10. At the direction of the VP, actively participate in and serve as needed in the Southern Association of Colleges and Schools Commission on Colleges ( SACS - COC ) accreditation process.
11. Create formal documentation of Advancement operating/gift acceptance policies and procedures and ensure/document annual review and editing of those policies/procedures.
12. Supervise and provide direction to the Assistant Director of Stewardship in the construction and management/maintenance of a solid stewardship program for Advancement - ensuring the necessary systems/information and reports are in place and accessible and well-coordinated with the other records management and gift receipting in Advancement.
13. Oversee the preparation of donor receipt letters, president's letters and recognition letters and all other stewardship correspondence planned and executed by the Assistant Director of Stewardship.
14. Create data reports and invitation lists for stewardship events, plaques, and other recognition gestures planned by the Assistant Director of Stewardship in collaboration with Advancement directors and senior leadership.
15. Coordinate closely with the Director of Corporate/Foundation Giving to support the necessary tracking/reporting for gifts/grants received.
16. Working with the Services/Research/Administrative team and the fundraising team in Advancement, construct the necessary lists, reports and tracking tools to support fundraising efforts including regular comparative data/benchmarking
17. Serve as the check-point for quality control for all records, reports, lists and data production.
18. Develops and maintains very positive and professional customer service and relations within the Advancement office and with all constituencies to include students, faculty, staff, administrators, other employees, other agency personnel and community members and donors. Demonstrates a positive and professional attitude and treats everyone with dignity and respect. Fully supports the "Student's First" value at CNU and routinely goes the extra mile in providing service.
19. This position is designated as a "responsible employee" who has the authority to redress sexual violence, who has the duty to report incidents of sexual violence or other student misconduct, or who a student could reasonably believe has this authority or duty
20. Safety issues are reviewed and communicated to assure a safe and healthy workplace and a reduction in work related absence.

Knowledge, Skills, Abilities (KSA's) required
Must possess good communication, writing, and proof reading skills - all with high degree of accuracy. Knowledge of office methods, procedures, practices, and bookkeeping/accounting and proven success in budget management. Ability to quickly learn, interpret and apply a variety of complex policies and procedures with their respect to the University. Organization, prioritization, judgment and problem-solving skills are essential. Knowledge of Generally Accepted Accounting Principles ( GAAP ) requirements and Council for Advancement and Support of Education ( CASE ) standards required. Demonstrated knowledge of office operations. Computer skills in database management, word processing and spreadsheets. Excellent written and oral communication skills. Ability to communicate clearly and professionally through written and verbal communications with both technical and non-technical peers. Ability to work collaboratively with students, faculty and staff. Ability to work independently. Ability to manage multiple tasks with competing deadlines. Managerial, organizational, analytical, and problem solving skills. Ability to be flexible and offer new ways to add value to the University. Ability to exercise independent judgment and make decisions that impact the organization. Ability to work a flexible schedule, including evening and weekends as needed.

Knowledge, Skills, Abilities (KSA's) preferred

Required Education
Master's Degree in Business, Liberal Arts or related field; or a Bachelor's Degree in Business, Liberal Arts or a related field plus experience that equates to an advanced degree.

Preferred Education

Experience Required
Substantial experience in Advancement/Development in higher education. Experience with the standards and regulations governing gift/donor records and data, and reporting, including in campaign environments. Experience in supervising or collaborating with both technical and non-technical peers. Proven supervisory experience necessary. Experience using word processing, database, and spreadsheet software.

Experience Preferred
Experience using Microsoft Office to include Word, Access and Excel. Experience in report design and experience in law, finance, accounting or insurance is preferred. Experience with Ellucian Banner system or similar database. Experience in report design and SQL programming and database management system knowledge, such as Oracle or Microsoft Access. Experience with interfaces and integrated systems such as iModules Encompass.
